Procurement Specialist - Interior Design

We are currently seeking a PROCUREMENT SPECIALIST to join our PLEASANTON, CA office. This individual is responsible for the procurement responsibilities for Interior Design projects, proactively anticipating and ensuring fulfillment of tasks and deadlines. The ideal candidate for this position is a highly organized self-starter with a positive attitude and ability to work collaboratively in a fast-paced, creative environment. This professional is results-driven, and when faced with challenges, persists with new solutions and is able to successfully interact with diverse individuals at all levels.
This is a hybrid position, requiring a minimum of 3 days per week onsite at our Pleasanton, CA office.
ESSENTIAL RESPONSIBILITIES:
- Responsible for reviewing vendor quotes for correct lead times, product samples, pricing, delivery, and freight costs based on Project Designer specifications.
- Furnishings Procurement – Responsible for purchasing furnishings and materials as specified by the Project Designer.
- Prepare purchase orders, process, review and expedite all orders through completion; schedule final inspections of completed items, and coordinate delivery.
- Tracking/Scheduling – Prepare and maintain detailed budget spreadsheet for all furnishings and materials that are being purchased for each project and update with order progress and tracking.
- Project Reconciliation/Accounting – On a regular basis, reconcile all purchasing for projects and update clients with status of ordering and invoicing showing application of funds.
- Coordinate closely with accounting during purchasing process – receipt or transfer of funds, PO deposits and final vendor payments; credits/refunds for cancelled orders, returns and exchanges, etc.
- Receiving & Storage – Work with receiving and storage facilities, freight and delivery companies for domestic and international shipments; installation quotes, resolving freight claims, and coordination of delivery to respective locations.
- Installation – In collaboration with Project Designer, Project Manager and Procurement Manager; provide support during installation and act as a liaison with vendors for any issues that arise.
- This role requires up to 25% travel to Interior Design installations as needed to support the overall team.
KNOWLEDGE, SKILL, & ABILITIES:
- Professional demeanor, service oriented with a friendly, flexible and positive attitude.
- Ability to adapt, adjust and persist in fluid circumstances.
- Advanced skills in Microsoft Office (MS Outlook, Word, Excel, PowerPoint).
- Design Spec experience preferred.
- Proven punctuality and reliable attendance.
- Excellent written and verbal communication skills required.
- Excellent leadership and interpersonal skills, including the ability to establish and maintain effective working relationships with others and communicate effectively with individuals at all levels.
- Strong organizational skills and attention to detail; ability to manage a task from start to finish.
- Initiative in communications and problem solving.
- Sound work ethics and the highest level of integrity; ability to handle highly confidential matters with discretion.
- Knowledge of contract management preferred.
- Ability to understand and interpret construction documents
MINIMUM EXPERIENCE, EDUCATION, CERTIFICATIONS:
- 2+ years' relevant experience purchasing FFE and materials interiors for Commercial, Residential and/or Multi-Family projects
- Work in a creative or professional services environment supporting multiple leaders.
- Experience working with an Architecture or Interior Design firm a plus.
- Must be legally authorized to work for any employer in the United States without any restrictions. Please note that visa sponsorship is not offered for this position.
We offer a competitive compensation package based on experience and qualifications. Excellent benefits include medical, dental, and vision coverage. Salary range: Starting salary $70,000 to $77,000 depending on qualifications. Placement within this pay range will be determined by factors such as education, qualifications, project complexity and/or experience. The maximum is reserved for candidates who currently meet all job requirements.
