Marketing Coordinator
We are seeking a MARKETING COORDINATOR to join the team in Pleasanton, CA. This dynamic and enthusiastic team member will lead and coordinate marketing pursuits, including SOQs, proposals, interview presentations, and related deliverables across multiple sectors and offices, while developing high-quality materials aligned with DAHLIN’s brand standards. This role will also support broader marketing initiatives related to conferences, events, presentations, communications, and firmwide campaigns.
The ideal candidate is highly organized, capable of managing multiple fast-paced deadlines simultaneously, and able to work collaboratively in a team-oriented environment.
Standard days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. This position is required to be onsite at least three days per week, and as needed for office, team, or employee meetings, at our Pleasanton, CA office.

WHAT YOU WILL DO:
- Serve as the lead and main-point-of-contact for marketing-related pursuits for assigned teams, from initial RFP/Q discovery through preparation and production of final deliverables.
- Coordinate pursuit schedules, submission requirements, deadlines, and deliverables to ensure timely and accurate completion of proposals and presentations.
- Collaborate with the Marketing / BD Team and Project Managers / Executives to produce SOQs, proposals, and interview presentations in alignment with DAHLIN’s brand style guide.
- Coordinate with project sub-consultants to gather information related to RFP/Qs, as required.
- Collaborate with technical staff for project interview preparation; bring in consultants as needed.
- Update and organize marketing information for cut sheets, case studies, resumes, copy database, etc.
- Develop presentation slide decks and marketing materials for pursuits, conferences, client events, and firm initiatives.
- Ensure consistency in branding, format, and content in relation to all deliverables and graphics; consult resources as needed on specialty graphic production.
- Update people and project information in Vantagepoint and support the teams in tracking wins/losses and debriefs.
- Organize and maintain all pursuit-related graphic assets in OpenAsset.
- Coordinate marketing and company events; attend industry conferences and events as directed by Marketing Operations Manager.
- Other projects as assigned.
WHAT YOU WILL BRING:
- Proficiency in Adobe Creative Suite and Microsoft Office
- Graphic design experience is strongly preferred.
- Works well under pressure with the ability to meet deadlines and handle multiple tasks simultaneously
- Well-organized, extremely detail-oriented and a self-starter
- Professional demeanor and able to present a positive image of DAHLIN in line with its overall brand
- Excellent verbal and written communication skills
- Excellent grammatical, proofreading and editing abilities
- Ability to handle proprietary and confidential information
- Adaptable personality, with a sense of urgency
- Knowledge of Deltek Vantagepoint CRM a plus
- Knowledge of OpenAsset a plus
- A/E/C industry experience is highly desirable
YOUR QUALIFICATIONS:
- Bachelor’s degree in Marketing, Communications, Graphic Design, Journalism, or a related field.
- 1-3 years of related industry experience in the A/E/C field preferred.
- Involvement in the Society for Marketing Professional Services (SMPS) a plus.
- Must be legally authorized to work for any employer in the United States without any restrictions. Please note that visa sponsorship is not offered for this position.

The salary range for this position is $60,00-$75,000 depending on qualifications. Placement within this pay range will be determined by factors such as education, qualifications, project complexity and/or experience. The maximum is reserved for candidates who currently meet all job requirements.
